What a great start to the day. After installing eProductivity for Lotus Notes yesterday, I set about working on my electronic inbox for just a few hours. You will remember I had 180+ unread emails in it, but I also had in excess of 1,000 read mails.
eProductivity allowed me to process these, GTD style, with relative ease down to about 50 unread with 400ish read by the time I decided it was time to do “personal” stuff. Getting into work this morning it was a pleasure. I even twittered that I was almost looking forward to opening up Notes for the first time!
Well, now its the afternoon and even having spent almost three hours in a meeting, I’ve got my email inbox down to zero. (Although why it shows 26 unread is a mystery to me…)

Next step was going through my current electronic to do list (using Mindmanager8 and Results Manager) and enter new actions and projects into eProductivity. This is now completed and the next step needs to be to collect everything physical in my office (you’ll remember the photo in my last post – things haven’t changed yet), put it all in one place and process using eProductivity.
The ease with this all happens is truly amazing. Even though I’m a real noob at eProductivity it seems extremely intuitive and the service I’ve had from Eric Mack and his team has been amazing.
The only issue I’ve had so far is my being uncomfortable about “deleting” original emails after linking them to projects or actions. I find myself going back to the project and double-clicking the link to make sure I can still access it!
I’m looking forward to finishing my processing entirely so I can really make use of the “Today” view and the Weekly Review Coach.

Paul…congratulations! Great job!
I know what you mean about the getting used to deleting the original e-mails. It’s a bit unnerving at first, but I’ve very quickly come to trust eProductivity. It just works so smoothly.

Same here, I keep moving these to Folders for future reference.

Also the unease with deleting emails after linking them is very recognizable! I move them to a folder and then wonder if the data is not twice in the mail file and hence I am hitting mail file size limitations sooner ….

Hi Peter. Yep, I think all I need is an explanation from Eric Mack as to where that information gets stored once you link it (including attachments) because then the logical part of my brain could be satisfied and I’d be happy to delete originals.

Hi guys, great questions. I’ll write up a more detailed response soon but for now, know this: When you link an email to a project or action you are not linking the original email but rather a shadow copy of that email that stays with the project or action. This is why we permit you to delete, file or archive the original email and yet it does not affect the linking. Yes, your mail file will grow due to the shadow emails but these are automatically purged when you delete the project or action so you will get the space back.
